The Director of Sales and Admissions is responsible for the overall operation of the marketing and admissions departments. Reports directly to the Executive Director/Administrator. The Director creates and manages the annual marketing plan for all aspects of the Assisted Living and Skilled Nursing Center. Accountable for marketing plan development, lead generation, maintenance of viable lead base and waitlist which meets occupancy projections for the housing affiliate.

Accountable for coordinating and implementing the skilled nursing resident/patient admission process including preadmission clinical assessment screening and coordination, insurance/financial verifications and overall coordination of the admission and sign in process. Acts as a champion for customer service and supports the marketing efforts of the facility.

Essential Job Functions:

  • Works to achieve established goals and objectives for the department.
  • Maintains occupancy of entire Community as well as a viable waitlist.
  • Answers and responds to inquiries, either phone calls, e-mails or walk ins, promptly and professionally answering all questions and scheduling appointments. Qualifies prospects for appropriate level of interest and need.
  • Schedule and conduct tours for prospective families and applicants. Share pertinent information regarding this facility, as well as other Berkshire Healthcare facilities or services that are appropriate. Obtain any additional information needed from decision maker to complete an application.
  • Works with Assisted Living waitlist candidates and new leads to encourage and close on timely move-ins.
  • Acts as the intermediary between the liaison team and affiliate. Collects referral (clinical and financial) information. Obtains clinical and financial approval through appropriate channels with facility leadership within 15-30 minutes and alerts liaisons to the status.
  • Develops, maintains, and executes a community outreach plan designed to develop strong collaborative referral relationships from key community stakeholders.
  • Facilitates admissions process with internal team members to ensure smooth transition of care for client/resident. Coordinates communication and information with rehab, social work, nursing, dietary and other departments as needed.
  • Assures payor source is clear prior to admission. Financially qualifies Assisted Living candidates. Coordinates with the Business Office to assure follow through for SNF and Assisted Living clients.
  • Completes admission paperwork with the resident and/or appropriate family member.
  • Assure OBRA and PASRR regulations are met prior to SNF admission.
  • Represents facility at public relation functions in the community at large which is vital to future waitlist and public image. Become active in local organizations. Schedule outreach presentations in community to educate on all aspects.
  • Maintains a good working rapport with all department personnel to assure marketing procedures are well coordinated.
  • Review, analyze and prepare reports and records relative to marketing to obtain required data for planning the marketing activities. Review status of process and ensure efficiency and effectiveness of all ads, direct mail and functions.
  • Review, analyze and prepare reports related to referral trends, and conversion rates to track and trend data relevant to admissions and occupancy.
  • Consults on all promotional, public relations and networking plans including ad campaigns in collaboration with Home Office Marketing Department.
  • Maintains competitive analysis for rate structure and amenities by visiting or mystery shopping communities when appropriate.
  • Maintain Marketing Budget for Advertising, Forms and Printing and Contract Professional Services.
  • Plan and conduct all on-site and off-site marketing events.
  • Process all applications, withdrawals, and refunds, for preparation of appropriate paperwork.

Qualifications:

  • 5 years’ experience working in marketing, public relations in Continuing Care Retirement Community or related field required.
  • Bachelors’ degree in related field and three years’ experience in admission/public relations work or equivalent combination of education and experience required.
  • Demonstrated understanding of marketing management principles.
  • Ability to work with people in a discretionary manner and with minimal supervision.
  • Must have good problem-solving skills and excellent communication skills.
  • Must be empathetic and informative with residents and family members.
  • Must have strong working knowledge of basic computer applications.
  • Ability to plan, organize, develop, implement and interpret the department/facility programs, goals, objectives, policies and procedures.
  • Must have patience, tact, a cheerful disposition and enthusiasm, as well as the willingness to handle difficult patients/residents.
  • Must be willing to seek out new methods and principles and be willing to incorporate them into existing practices.
  • Must be willing to make every effort to meet resident and family requests.
  • Must have the ability to successfully relate and respond to the needs of management, employees and residents.
  • Must be able to represent and articulate the BHCS mission, vision and strategies in developing, implementing and coordinating the department.
  • Must be able to read, write, speak and understand the English language.
  • Must possess the ability to make independent decisions when circumstances warrant such action.
  • Must possess the ability to deal tactfully with personnel, patients/residents, family members, visitors, government agencies/personnel and the public.
  • Must be knowledgeable of nursing and medical practices and procedures, as well as laws, regulations and guidelines that pertain to long-term care.
  • Must be willing to work harmoniously with professionals and non-professional personnel

Work Environment:

Works in office area(s) as well as throughout the nursing services area (i.e., dining rooms, nurse’s stations, patient/resident rooms, etc.).

Sits, stands, bends, lifts, and moves intermittently during working hours.

Is subject to frequent interruptions.

Is involved with patient/residents, personnel, visitors, government agencies/personnel, etc., under all conditions and circumstances.

Is subject to hostile and emotionally upset patients/residents, family members, personnel, and visitors. Communicates with the medical staff, nursing personnel, and other department supervisors. Works beyond normal working hours and on weekends and holidays when necessary. Attends and participates in continuing educational programs. Is subject to falls, burns from equipment, odors, etc. throughout the day. Is subject to exposure to infectious waste, diseases, conditions, etc., including TB and the AIDS and Hepatitis B viruses.

Physical and sensory requirements:
